Executive assistant

We're looking for an executive assistant, who'll report to the managing partner.

This video marks three decades of Ledingham Chalmers and explores our heritage, culture and what happens next, including our ambitious growth plans.

Our core values are central to our approach. These guide how we work with each other, and our clients. And now we're looking for a colleague who'll champion those values and and support our teams as they deliver what we know is a valuable service to our clients.

The role

As well as general support such as handling calls and queries, the role's responsibilities are wide-ranging and include —

  • Partner support — scheduling and other support for partner meetings

  • The LC Way (our service charter under development) — overseeing quality control for templates in line with our corporate guidelines and ensuring they're easy to access for all users

  • Compliance — maintaining a central training register as well as providing support for the HR team including with firm new starts

  • Administration of firm-wide professional memberships — acting as the firm point of contact for organisations including SCDI, CBI, OEUK, Lawyers Associated Worldwide, and various chambers of commerce as well as supporting an annual review of these memberships

  • Tenders — supporting the production of tenders including ensuring the latest policy documents are provided and that proofreading/quality control is carried out before submission

  • Lawyers Associated Worldwide — ensuring the firm tracks and reports referrals as well as supporting the production of our annual return

  • Library — supporting the library partner and making sure the library database is up-to-date

The role is suitable for hybrid working.

We'd also welcome applications from people across Scotland, although you would need to be able to travel to Aberdeen for training and meetings.

What you can bring to the role

With this type of role, it's no surprise we're looking for someone who can champion our core values, corporate guidelines and be a strong advocate of our developing "The LC Way" service charter.

You'll be able to demonstrate —

  • Excellent attention to detail

  • The ability to prioritise a busy workload

  • Strong organisational, administrative and IT skills

  • Excellent written and verbal communication skills

  • Obvious pride in the presentation of your work

  • A friendly, professional, and polite approach

  • You understand the importance of providing an accessible, positive “user experience” for clients and colleagues

  • You're comfortable working both individually and as part of a team

  • You lead by example, maintain confidentiality and act with discretion and diplomacy
